RESPONSIBILITIES INCLUDE:
• Requisition and Advertising
oReceive requisition form from Recruiting Practitioner with all relevant documentation (EXCO approval if new position).
oEnsure that the requisition form is completed and signed by all stakeholders.
oPlace advertisement on different advertising mediums as requested by the Recruiter.
oSend out internal email for advertised positions.
oCreate a folder for every position advertised with all relevant documentation.
oAttend to queries from candidates regarding the advertisement.
• Shortlisting and Arranging of Interviews
oReceive CV’s of candidate shortlist from Recruiting Practitioner.
oComplete shortlist schedule and arrange meeting between Recruiter and Line Manager.
oReceive final candidate shortlist from Recruiter and schedule interviews and logistic arrangements and schedule through diary entry.
oNotify candidates via SkillsMap notification of interview.
oLiaise with candidates/ agency requesting the relevant to documents to compile interview packs.
oCompile interview guides and once checked by the Recruiter and/ or Specialist send out to panel members 48 hours before the interviews.
oHost candidate fingerprints.
• Background checking, On-boarding and Exit Administration
oReceive successful candidate information from Recruitment and complete relevant MIE verifications and reference checks complete candidate motivation for appointment and employment contract. Once MIE’s received attach and hand to Recruiter.
oReceive document back from Recruiter and ensure all signatures up to the Manager ER and Talent Acquisition are obtained.
oReceive signed documents back from Recruiter, allocate salary reference number.
oSend relevant on-boarding documentation to be completed to candidate.
oCapture new employee details on PeopleSoft and payroll spreadsheet.
oCreate file for new employee.
oComplete on-boarding pack for new employee.
oReceive notification of candidate retiring/ resigning and for employees resigning complete letter of acknowledgement to be signed off by Acting GM HR.
oCapture information on payroll spreadsheet.
oSchedule an exit interview for employees who are resigning (arrange date, time, venue) and schedule through diary entry.
• Recruitment, transfer, promotions, resignations, out of service for Life Offices
oEnsure all necessary documentation is received and id in order.
oAllocate salary reference number.
oCompile motivation and employment contracts and attach relevant documentation.
oReceive document back from Recruiter and ensure all signatures are obtained.
oSend employment contract to Provincial HR Manager.
oCapture new employee details on PeopleSoft and Payroll spreadsheet.
oCreate file for new employee.
oReceive notification of candidate retiring/ resigning and for employees resigning complete letter of acknowledgement to be signed off by Assistant GM HR.
oComplete entry into payroll spreadsheet.

Requirements

QUALIFICATION REQUIREMENTS FOR THIS POSITION:
• Grade 12

EXPERIENCE AND KNOWLEDGE REQUIRED FOR THE POSITION:
• 2 Years’ administration experience.
• Working knowledge of MS Office Suite.
• Sage300 People experience will be an advantage.
